Shopify Multi-Location Inventory Setup: Locations, Priorities, and Transfers

Turning on a second location changes fulfillment order, availability displays, and your counts, whether you planned it or not. The setup sequence: locations, priorities, safety stock, and transfers.

What changes the day you add a location

With one location, inventory is a number. With two, it becomes a number per place, plus a set of decisions about which place serves which order. Shopify tracks quantities per location, fulfills from locations in a priority order you define, and shows availability based on the locations active for each product. Stores usually discover the implications backwards: a product shows out of stock while units sit in the second warehouse, because the product was never stocked at the locations the storefront is reading.

Decide the model before you activate anything. Will both locations sell online, or is one a retail shelf whose stock should not be promised to the website? Will orders split across locations when one cannot fill a whole order, and who eats the double shipping when they do? These are policy decisions with settings attached, not settings with policy attached, and writing them down first is the difference between a setup and an incident.

Locations, activation, and priority order

Create each location with its real address, activate only the ones that should fulfill online orders, and stock products deliberately per location rather than assuming quantities followed you. Then set the fulfillment priority order: the sequence Shopify walks when allocating an order. Put the location that should drain first at the top, usually the one with the cheapest shipping to your core customers or the stock you most want to turn, and review the order after any change in your footprint, because a priority list written for last year's map quietly misroutes this year's orders.

Local pickup hangs off the same structure. Each pickup location needs its own stock and its own pickup settings, and a product available for shipping is not automatically available for pickup at a given store. Test a pickup order end to end per location before announcing the option. Pickup failures happen at counters, in front of staff, with the customer present, which is the most expensive place for a settings error to introduce itself.

Counts, safety stock, and the unavailable buffer

Multi location life punishes sloppy receiving. A delivery counted at the wrong location is not a rounding error anymore; it is a promise the website makes that the fulfilling shelf cannot keep. Build the receiving habit with the setup: count in, scan, confirm location on the adjustment, every time. Shopify's inventory states help if you use them honestly: committed for allocated orders, incoming for transfers and purchase orders, and unavailable for the units you deliberately hold back, damaged stock, display pieces, and the safety buffer every store swears it does not need until a count is wrong on a best seller.

Decide your oversell policy while you are here. Continuing to sell when out of stock is a per product choice that some stores use deliberately for made to order items. Across a multi location catalog it should be the exception with a reason attached, not the inherited default, because overselling from the wrong location creates the split shipment, the apology email, and the refund, in that order.

Transfers keep the map honest

Stock will pool in the wrong places. Transfers are the correction mechanism: a documented movement of units between locations that keeps incoming inventory visible while it travels. Use them instead of silent adjustments, because a transfer leaves a trail and an adjustment leaves a mystery, and the mystery is always discovered during the busiest week of the quarter. Set a weekly rhythm: review sell through by location, transfer toward demand, and reconcile one location's counts on rotation so a full physical inventory is never the emergency it becomes in stores that count nothing until everything is wrong.

Close the setup the way every setup should close: place test orders that force each path, an order only location two can fill, a split order, a pickup at each location, and a return restocked to the non default location. Multi location errors hide in the paths nobody tests and announce themselves in the paths everybody uses. An hour of staged orders is the cheapest version of that lesson available.

Frequently asked questions

How many locations can a Shopify store have?

Limits vary by plan, and only active locations that stock products and fulfill orders count toward your working setup. Check your plan's current limit in the admin, and deactivate locations you no longer fulfill from rather than leaving them as traps in the priority order.

Why does a product show out of stock when another location has units?

Availability reads the locations where the product is stocked and active for that sales channel. If the product was never stocked at the locations serving online orders, the storefront correctly reports what it can actually fulfill. Stock the product at the right locations.

What is fulfillment priority order and how should I set it?

It is the sequence Shopify uses to allocate orders across locations. Put the location that should serve first at the top, based on shipping cost to your main customers and which stock you want to turn first, and review it whenever your footprint changes.

Should I use transfers or just adjust quantities between locations?

Transfers. A transfer documents the movement and shows the units as incoming at the destination, while a pair of manual adjustments leaves no trail and eventually produces a count nobody can explain. Use adjustments for corrections, transfers for movement.
